According to “NCAS 02S.0107 Special Requirements For Private Clubs” private clubs are required to maintain on the licensed premises a current alphabetical roster of all members and their complete addresses. BarMembership™ makes this easy.

14B NCAC 15B .0107 (C) Mandatory Requirement. To qualify as a private club, a facility shall meet the following requirements concerning membership:
(1) collect an annual membership fee separate from any admission or cover charge, no dues from which shall be more than 30 days past due.
Determination: The BarMembership™ content management system (CMS) creates and stores a customized receipt for each member based on the price of membership. Each receipt is stored with the member’s permanent record, and helps in proving 14B NCAC 15B .0107 (C) (1) upon ALE inspection. (Note: each private membership club is still responsible for the actual collection of funds.)
(2) maintain a written policy on the granting of full and limited memberships.
Determination: The BarMembership™ content management system (CMS) allows for each private membership club to customize the Membership Guidelines (Terms and Conditions) and provides ready access to said guidelines at all times. Therefor satisfying 14B NCAC 15B .0107 (C) (2). Edit.
(3) require each prospective member to complete a written application that contains questions directly related to the applicant’s interest in the social, patriotic, fraternal or recreational purpose of the club, the applicant’s qualifications for membership, and the applicant’s background.
Determination: The BarMembership™ app based electronic membership application does satisfy 14B NCAC 15B .0107 (C) (3).
(4) retain each completed application, if approved, in the organization’s permanent records as long as the individual’s membership continues.
Determination: The BarMembership™ CMS’ electronic data storage does constitute an organization’s “permanent records” if collected via the App based electronic application.
Determination: If and organization utilizes paper applications and then enters that data into the BarMembership™ CMS, the private membership club would still need to maintain the completed paper applications in accordance with 14B NCAC 15B .0107 (C) (4).
(5) issue written or printed evidence of membership to each member, which evidence of membership or other reasonably reliable document of identification shall be in the possession of each member present on the licensed premises.
Determination: The electronic issuance and storage of membership evidence via the BarMembership™ technology platform does satisfy 14B NCAC 15B .0107 (C) (5).
(6) maintain on the premises a current alphabetical roster of all members and their complete addresses.

(7) maintain and provide to each member a written policy concerning the use of facilities by guests.
Determination: The BarMembership™ content management system (CMS) allows for each private membership club to customize the Membership Guidelines (Terms and Conditions), maintains those guidelines with in the system, and provides ready access to said guidelines at all times; therefor satisfying 14B NCAC 15B .0107 (C) (7).
Determination: The electronic issuance of a written policy concerning the use of facilities by guests does satisfy 14B NCAC 15B .0107 (C) (7).
